Utilization Report
The Utilization Report scores how well each vehicle is used against the schedule you expect it to run. It answers questions like "which vehicles sit idle most of the week?" and "are we getting the hours and mileage we planned out of each unit?"
It lives under Reports, alongside Events (the data-completeness matrix).
How Scoring Works
You define an Operating Window — the days and hours a vehicle is expected to be working, plus the hours and/or distance you expect per day. FleetTAB compares each unit's actual use against that expectation and produces a utilization percentage. You control whether the score is based on time, mileage, or a weighted blend of both.
Summary cards at the top show Average utilization, Unused vehicles, and Average distance per day per vehicle.
Configuring the Report
Open Utilization settings (or Edit) to configure the parameters, then click Apply.
Operating Window
- Operating days — toggle the days the fleet is expected to run (Sun–Sat).
- Start time / End time — the working hours within each operating day.
- Expected hours — hours of use you expect per operating day.
Metrics
- By time — score against expected hours of use.
- By mileage — score against Expected mileage (distance per operating day).
You can enable one or both.
Score Weight
When both time and mileage are enabled, choose how they are balanced with a Time / Mileage weight preset: 70/30, 60/40, 50/50, 40/60, or 30/70.
Use Apply to run the report with your settings, or Reset to defaults to start over.
Reading the Results
The table lists one row per Vehicle. The columns depend on which metrics you enabled:
| Column | Shown when | Description |
|---|---|---|
| Vehicle | Always | The unit. |
| Score / Utilization | Both / one metric | Overall utilization. Labeled Score when time and mileage are combined, otherwise Utilization. |
| Time % | Time + mileage | Utilization based on hours used. |
| Mileage % | Time + mileage | Utilization based on distance driven. |
| Hours used | Time enabled | Actual hours the unit was used. |
| Hours available | Time enabled | Expected hours from the operating window. |
| Distance driven | Always | Actual distance for the period. |
| Distance available | Mileage enabled | Expected distance from the operating window. |
If nothing appears, the report shows "No utilization data for selected period" — check your date range and unit selection.
Exporting
Click Export to save the report. Exports (PDF, Excel, and JSON) include the operating window, metrics, and every result column, along with the period and timezone the report was run for.
